Your path to successful projects
Start off by creating a project-based opportunity for an existing lead. In the opportunity, include basic information given to you by your potential customer, such as subject matter and budget. Based on this opportunity you can create a quotation and include required resources, tasks, products and an invoice schedule.
Create a project based on your quote (you can use a project template if you like), the information contained will be carried over. You can have a look at the project estimates displayed in a work breakdown structure. Project managers will be happy to hear that there is an add-in available that connects your Dynamics 365 organization to Microsoft Project.
An order is created as soon as you close your quote as won. This order is called a project contract. All the details of the quote have been carried forward but, while in draft mode, you can still make changes and include an invoice schedule, if you haven’t already done so. Once activated, you will be able to monitor contract performance, i.e. work and billing progress.
With proRM Project Gantt, you become more flexible in project management than you would be with the default features of Dynamics 365 for Project Service Automation. You are able to view all projects in one view and thus keep not just one but all customers in view. Different relation types between project tasks make it possible to plan projects in a more detailed way.
Assemble the best team available for any given project. You can generate a project team in the app. This will give you an estimation of how many and what type of resources are required to deliver the project on time and on budget. There are three different possibilities for staffing your team: the project manager selects team members based on availability and skills, he or she submits a request to the resource manager or have employees apply for projects via the Project Finder app.
Time and Expenses Tracking
Whoever has been assigned to a project task will then be able to track their working time and occurred expenses in the system or the mobile app. Use the default options for standard tracking or proRM Tracking for advanced tracking. proRM Tracking allows you to record time entries based on a start and end time as well as breaks. You can also create tracking entries on behalf of other resources.
Project managers can check the submitted tracking entries, edit them if necessary, and finally approve and reject them. It’s a simple process. If you would like more insight, switch to proRM Approval Manager which not only allows you only to quickly edit entries in-line but also to filter and visualize data in charts.
This project has gone so well, make sure it ends well – with a flawless invoice. It can be generated out of the project contract. While in draft mode, you can still make changes to project-based lines, for example decide not to bill a certain task or offer it as complimentary. Once you confirm the invoice, the details become read-only.
